Who we are
M/s. D. Thimmeswara Rao, operating under the name DTR Logistics (“DTR”, “we”, “us”), provides customs clearance, freight forwarding, transportation and related shipment services.
This policy explains how we handle information received through our website, WhatsApp, email and document processing systems, including our DTR Document Automation application.
Information we collect
We collect information you provide when contacting us or using our services. This may include:
- Your name, company name, phone number and email address.
- Messages, photographs, attachments and shipment references.
- Commercial invoices, packing lists, shipping documents, customs documents and other records supplied for our services.
- Details within those documents about exporters, importers, consignors, consignees, business contacts, cargo, containers, seals and transport.
Our communication and automation systems may also process message identifiers, timestamps, delivery status and technical logs needed to operate and troubleshoot our services.
Please provide only information necessary for your enquiry or shipment. When sharing another person’s information, ensure you are authorised to do so.
How we use information
We use information to:
- Respond to enquiries and communicate with customers and service partners.
- Arrange, manage and track shipments.
- Review documents for missing details and inconsistencies.
- Request corrections, confirmations and approvals.
- Provide shipment updates and maintain business records.
- Meet applicable legal and regulatory obligations.
We may use automation and artificial intelligence services to classify documents, extract information and identify possible discrepancies. These results assist our staff. Customs filings and material shipment decisions remain subject to appropriate human review.
Sharing and service providers
Information may be shared with authorised DTR staff and, where necessary for your shipment, customs authorities, shipping lines, transporters, freight agents and other service partners.
We also use technology providers for messaging, workflow automation, document storage and processing. Depending on the workflow, these may include Meta/WhatsApp, n8n, Google Drive and OpenAI. Relevant messages, attachments or extracted information may be processed by these providers to support the services described in this policy.
We do not sell personal information. We may disclose information where required by law or necessary to establish, exercise or defend legal rights.
Third-party services also handle information under their own applicable terms and privacy policies.
Storage and security
Information may be stored in DTR’s business systems and cloud services. Depending on the service provider, processing and storage may take place outside India.
We use reasonable access controls and security measures to protect information against unauthorised access, misuse or loss. No electronic transmission or storage system can guarantee absolute security.
How long we retain information
We retain information for as long as reasonably necessary to provide our services, maintain shipment and business records, resolve disputes and comply with applicable customs, tax, accounting and other legal requirements.
Retention periods vary by record type and purpose. Information no longer needed will be deleted or anonymised, subject to applicable retention obligations and backup cycles.
Data deletion requests
To request access to, correction of or deletion of your personal information, email admin@dtrlogistix.com with the subject “Privacy / Data Deletion Request”.
Please include:
- Your name.
- The phone number or email address used to contact DTR.
- Sufficient details to identify the relevant messages, shipment or records.
- The action you are requesting.
Do not send passwords or unnecessary identity documents. We may request proportionate information to verify your identity before acting.
We will review your request and explain the outcome. Some records may need to be retained to meet legal obligations, complete ongoing services or resolve disputes. Where retention is necessary, we will explain the reason.
Deleting information from DTR’s systems does not automatically delete copies held independently by WhatsApp, shipment partners or other parties. Backup copies may remain until the relevant backup retention cycle ends.
Optional promotional communications
You may ask us to stop optional promotional communications by emailing admin@dtrlogistix.com or replying to the relevant message. We may continue communications necessary for ongoing services or legal obligations.
Changes to this policy
We may update this policy when our services or information handling practices change. The current version and its update date will appear on this page.
